Terms of Service
Effective 22 September 2026
Fieldwork Ledger is in private beta. Your research records remain yours; we hold them for you and give you a way to get them back out. The service may change or break, and it is offered without warranty while it is in beta.
Use it for real research. Do not use it to attack, overload, or resell it.
The agreement
These terms are between you and [legal entity name] ("we", "us"). By using Fieldwork Ledger you accept them. If you are using the service for an organisation, you confirm you are authorised to accept them on its behalf, and "you" means that organisation.
Beta status
The service is a private beta. It is not yet a finished product. We may change, suspend, or withdraw features, migrate or reset data structures, and impose limits, with as much notice as we can reasonably give. There is no uptime commitment and no support commitment during the beta.
Keep your own copies of anything you cannot afford to lose. We take care with your records, but a beta service is not a backup.
Accounts and credentials
You need an account to use the service, and the details you give us must be accurate. You are responsible for what happens under your account and under any agent credential you issue from it.
Agent credentials act with the permissions you grant them. Treat them as you would a password: do not commit them to a repository, and revoke any that leak. We can revoke a credential that we believe is compromised or is being used to harm the service.
Organisations and access
Records belong to an organisation, not to an individual. Members of an organisation can see records according to the role they hold, and administrators can invite, promote, and remove members. If you join an organisation, its administrators can see the records you create in it and can remove your access to them. Permissions are checked on every request, so a change to your role takes effect at once.
Your content
You keep all rights in the records you submit. You grant us only the licence we need to run the service: to store, copy, transmit, and display your records in order to provide Fieldwork Ledger to you and the members of your organisation. That licence ends when you delete the records or close the account, except for copies in routine backups that age out.
We do not use your records to train machine learning models, and we do not publish them. You are responsible for having the right to submit what you submit, and for any personal information you choose to put into a record: you are the controller of it and we process it on your instructions. See the Privacy Policy.
Acceptable use
- Do not break the law, infringe others' rights, or submit material you have no right to.
- Do not attempt to access records belonging to organisations you are not a member of, or to defeat the permission checks.
- Do not probe, scan, or load-test the service without our written permission, or send traffic designed to degrade it for others.
- Do not resell the service or use it to build a competing product.
- Do not upload malware, or use the service to store material unrelated to research.
We may suspend an account that is doing any of these, immediately where the service or other users are at risk.
Availability
We aim to keep the service running and to migrate data without loss, but during the beta the service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including fitness for a particular purpose and non-infringement. We do not warrant that it will be uninterrupted, timely, or error-free.
Liability
To the fullest extent the law allows, we are not liable for indirect, incidental, special, or consequential loss, nor for lost profits, lost revenue, or lost or corrupted data. Our total liability arising out of or relating to the service is limited to the greater of the amounts you paid us in the twelve months before the claim, or one hundred euros. Nothing here excludes liability that cannot lawfully be excluded.
Ending it
You may stop using the service and close your account at any time. We may end your access with reasonable notice, or immediately for a serious breach of these terms.
Before we close an account at our initiative, we will give you a reasonable opportunity to export your records, except where the law or a serious breach prevents it. After closure we delete records in the ordinary course.
Changes to these terms
We will post changes here and update the effective date. For material changes we will contact account holders. Continuing to use the service after a change means you accept the revised terms.
Governing law
These terms are governed by the law of [jurisdiction], and the courts of [jurisdiction] have exclusive jurisdiction, without affecting any mandatory rights you have where you live.
